How soon will we actually see something working?
Faster than most people expect. We usually have a first automation running in your real environment within two to four weeks - not a slide deck or a demo, but an actual workflow doing actual work. We deliberately start with one clear, high-friction process so you feel the difference early.
The reason we can move that quickly is that we don't try to fix everything at once. We pick the task that's costing you the most time or causing the most errors, automate that, and let the result make the case for what to tackle next.
Is this going to replace people on our team?
No - and honestly, that isn't what good automation is for. It takes the dull, repetitive parts off your team's plate: the data entry, the chasing, the copy-paste between systems. The people you've hired get to spend their time on the things software can't do - judgement, relationships, and the odd case that doesn't fit the rulebook.
In practice, most of our clients don't shrink their teams after automating. They handle more work without hiring for admin, and the people already there end up doing more interesting, higher-value work.
Will it work with the tools we already use?
Almost always, yes. We're not here to rip out what works and sell you a whole new stack. If your team lives in a particular CRM, a handful of spreadsheets, an email inbox and an accounting tool, we build the automation around those - connecting them so information moves on its own instead of by hand.
If one of your tools genuinely can't be connected - it happens with older or very closed systems - we'll tell you plainly and suggest the smallest change that gets the job done, rather than pushing a big migration you didn't ask for.
How do you price automation work?
Wherever we can, we quote a fixed price for a clearly defined piece of work, so you know the number before we start - no open-ended hourly meter running in the background. For ongoing work, or a set of automations we roll out over time, some clients prefer a simple monthly arrangement instead.
Either way, we scope it with you first and put the cost in writing. If something turns out to be bigger than expected, you hear about it before we do the work - never after.
What kinds of tasks can actually be automated?
A good rule of thumb: if a task follows rules, happens over and over, and doesn't really need a person to think about it, it's a candidate. That covers a lot - approvals and sign-offs, generating and sending documents, reminders and follow-ups, moving data between systems, scheduled reports, alerts when something needs attention, onboarding steps, and plenty more.
Where it stops is judgement. Anything that needs a person to weigh things up or handle a genuine exception, we leave with your team - and often we'll automate everything around it, so the human only steps in for the part that truly needs them.
Our process keeps changing - what happens then?
That's normal, and we build for it. Automations are set up so the rules can be adjusted as your process evolves - a new approval step, a changed threshold, an extra notification - without rebuilding everything from scratch.
For small tweaks, we'll show your team how to make them themselves. For anything larger, we're a message away. The goal is software that bends with your business, not something you're quietly working around six months later.
Is our data safe?
Yes, and we treat it that way from day one. Automations run on secure, access-controlled setups, only the people who should see something can, and we don't move your data anywhere it doesn't need to go.
If your industry has its own rules about where data can live or who can touch it, tell us up front and we'll build to them rather than around them.
What do we need to give you to get started?
Less than you'd think. Mostly a conversation - walking us through how the process works today, who's involved, and where it hurts. After that we'll need access to the relevant tools and a point of contact who knows the process well enough to answer questions as they come up.
You don't need to have it all documented or figured out. A messy, honest explanation of how things actually work is far more useful to us than a tidy diagram of how they're supposed to.
What if an automation breaks or something goes wrong?
We build in monitoring and alerts, so if something does fail it gets caught - ideally before it affects you - instead of quietly doing the wrong thing. Automations are designed to fail safely: they stop and flag the problem rather than ploughing ahead.
And you're not left on your own if it happens. Support and a quick fix are part of how we work - we don't hand something over and disappear.
Do we need technical people on our side for this?
No. The whole point is that your team carries on using the tools and processes they already know, while the automation runs quietly underneath. You don't need a developer on staff or anyone to babysit it.
Where it helps to have someone technical, that's our job. You bring the knowledge of how your business actually runs; we bring the engineering.
How is this different from something like Zapier or an off-the-shelf tool?
Off-the-shelf tools are great for simple, common connections - and if one of them solves your problem, we'll happily tell you to just use it. Where they struggle is anything specific to how your business works: multi-step approvals with real logic, edge cases, custom rules, or tight integration with an internal system.
That's where custom automation earns its place - it fits your process exactly, instead of forcing your process to fit the tool. We'll often use existing platforms as building blocks where they make sense, and build custom only where they don't.

Absolutely - it's one of the most common places we start, and it's genuinely part of the work. In the first conversations we map how work actually flows today and look for the tasks eating the most time, causing the most errors, or annoying people the most.
